In short
- Saving locally is not processing locally. Nico needs an internet connection and external AI services for transcription, translation and AI answers.
- Meeting audio leaves your computer: it is streamed directly from the desktop app to ElevenLabs while you record.
- Nico's server does not keep a database of your translations, transcripts or meeting audio. It records usage amounts (tokens, requests, recorded seconds) for plan limits.
- Nico does not train its own AI models on your content. How long each AI provider retains data, and whether it may use it, follows that provider's terms, which are listed below as not yet verified.
Data flows by feature
Each row shows what leaves your device when you use the feature, who receives it, and where anything is kept. All traffic uses HTTPS.
Meeting: live transcription (desktop)
- What is sent
- Microphone and system audio while recording is on.
- Sent to
- ElevenLabs (speech recognition), streamed directly from the desktop app. Nico's server only issues a single-use connection token.
- What is kept
- Nico's server receives no audio. Provider-side retention follows ElevenLabs' terms (not verified).
Meeting: transcript translation
- What is sent
- Each confirmed utterance plus a few earlier utterances as context.
- Sent to
- Nico's server, then Google Gemini.
- What is kept
- Not stored by Nico's server. Provider-side handling follows Google's terms (not verified).
Meeting: Live AI Ask and quick translation
- What is sent
- Your question or typed text, plus recent transcript segments with their source labels.
- Sent to
- Nico's server, then Google Gemini.
- What is kept
- Only usage amounts (tokens and requests) are recorded.
Meeting: title and tag suggestions after recording
- What is sent
- The original-language transcript, and titles and tags of up to 5 recent meetings.
- Sent to
- Nico's server, then OpenAI.
- What is kept
- The request asks OpenAI not to store the response (store: false). Suggestions are written only to your local metadata.json.
Meeting: saved files
- What is sent
- Nothing is uploaded by Nico.
- Sent to
- None. If you give these files to another AI tool or a sync service, that is a separate transfer under that service's terms.
- What is kept
- transcript.json, transcript.md, metadata.json and audio.webm in the folder you choose on your computer.
Text translation, proofreading and follow-ups (web and desktop)
- What is sent
- The text you submit, languages and tone settings. Live Fix sends the text you selected in another app.
- Sent to
- Nico's server, then Groq (first translations) or Google Gemini (proofreading, tone rewrites and follow-ups).
- What is kept
- Not stored by Nico's server. Only usage amounts are recorded for signed-in users; the anonymous trial count is kept in a signed cookie.
Translation history
- What is sent
- Not sent.

- The latest 50 items in your browser's or desktop app's local storage on that device.
Usage and plan limits
- What is sent
- Token and request counts; for meetings, a meeting ID and recorded seconds. No transcript text.

Account, billing and email
- What is sent
- Email address and sign-in details; payment details for Pro; your email if you ask for a download link.

- Account and billing records. Download-link requests keep only hashed values for rate limiting.
Product analytics
- What is sent
- Event names and settings such as languages, text length and meeting duration. Signed-in users are identified by user ID, email and name. Error messages are redacted.

- PostHog (web and desktop), Google Analytics 4 (website only, without user IDs or text).

Before you record a meeting
- Get consent from the people in the meeting and follow your organization's rules for recording and external AI services.
- Do not record meetings that your organization does not allow to be processed by external AI services.
- Nico separates audio by source (microphone and system audio). It does not identify individual speakers.
What we have not verified yet
- Retention periods and training-use settings at ElevenLabs, Google (Gemini API), Groq and OpenAI. Apart from OpenAI's store: false, Nico's code does not set provider-specific no-retention options.
- Which Gemini API plan terms apply to Nico's account.
- Whether request contents can appear in Nico's server logs in production. A debug option that logs prompts exists and is off unless enabled.
- Whether website analytics can capture on-screen text when you click elements on the web app.
